Events and Development Assistant

Reporting to: Head of Community

Direct reports: None

Contract:  1 year contact, part-time (equivalent of 3 days per week – days and working hours to be agreed)

Location: Hybrid working between Paddington, London and remote

Salary: £24 – 27k pro rata (dependent on experience)

We’re looking for someone to support our Development team to achieve their ambitious fundraising targets by assisting on the delivery of Big Change’s busy calendar of UK and international events. Working closely with the Head of Community and Development Executive, you’ll make sure the team is well-supported and that our event administration, data curation, and research functions are running smoothly.

Impact Team Assistant

Reporting to: Senior Director of Impact

Direct reports: None

Contract:  1 year contact, part-time (equivalent of 3 days per week – days and working hours to be agreed)

Location: Hybrid working between Paddington, London and remote

We are looking for someone to provide timely, effective and high quality administrative and coordination support to our Impact Team at Big Change. The successful applicant will become an important member of our Team, which is responsible for the identification, set up and oversight of our work in the UK and globally to support the transformation of education and learning.

We focus on three areas of work: The Big Education Challenge – a £1m prize fund to support and reward bold ideas with the potential to transform education and learning in the UK, and the Big Education Conversation, which supports inclusive conversations about the purpose of education in order to shape a new vision and ideas for change both in the UK and 11 countries around the world. We are shaping A New Education Story by generating insights and convening leaders focused on transforming education systems through shifts in purpose, power and practice.

Role summary

The primary purpose of this role is to support the Development team to achieve their ambitious fundraising targets by assisting on the delivery of Big Change’s busy calendar of UK and international events. Working in the Development team you will work closely with the Head of Community and Development Executive, to make sure the team is well-supported and that our event administration, data curation, and research functions are running smoothly. 

Given the wide variety of tasks, the role is well-suited to a versatile person who thrives in a small organisation where adaptability and a can-do attitude are valued. You won’t need experience in all of the areas of focus, but you should have a demonstrable thirst for learning and a willingness to grow. Key Roles and Responsibilities

Assist on our series of in-person events, supporting the Development Executive and Head of Community on event administration and management. 

This will include:

Strive

Assisting on Strive Challenges – our series of purpose-led endurance adventures, building our community of supporters while raising funds and awareness for Big Change’s work.

  • Assisting the development and creation of event collateral such as participant kit, and branding collateral and 
  • Assisting the creation of participant communications, including participant booklets and event information guides.
  • Participant logistics including registration, pre-event surveying and knowledge management (master sheet upkeep)

Non-Strive

Support on our unique community engagement events, from sourcing venues and suppliers, creating invites and event pages, managing guest lists and making sure our follow-up communications are spot-on.

  • Venue and supplier research, viewings and liaison
  • Invite and RSVP management
  • Improving processes – event invites, Beacon, automation etc.
  • Pipeline assistance: assist Development Team in new business and sector research, writing reports and creating profiles for funding opportunities.
  • Working with the Operations team to dot the i’s and cross the t’s-coordinating contracts, agreements and invoices for events.
  • Knowledge management – CRM database ‘super-user’ upkeep and record assistance, pipeline reporting support, RSVP monitoring and process improvement.

Skills and Competencies

We are looking for someone who is aligned with Big Change’s vision, to set up every young person to thrive in life, not just exams, and with our mission to be a catalyst to transform education and learning.

You will need to:

  • Be highly organised and be able to effectively prioritise tasks across the short and medium term
  • Have excellent attention to detail in all aspects of the role
  • Have excellent written skills, with the ability to present written information clearly and succinctly
  • Have excellent verbal communication skills, both on the phone, in person and within a team environment 
  • Have good excel and numerical skills
  • Be confident working as part of a small but busy team
  • Be adept at all things logistical, especially in the planning and organisation of meetings and events
  • Ask questions and take a learning disposition, especially when doing new things and taking on feedback
  • Take initiative and be proactive in offering and implementing support, as well as adjusting and adapting plans in line with team needs

Knowledge and Experience

Essential

  • 1-2 years relevant experience, ideally in an admin support or similar role
  • Proficient in Microsoft Office, Google Suite, Dropbox, with the ability to learn new software packages as required
  • Experience of setting up and supporting in person and virtual meetings and events

Desirable

  • Experience of CRM (Customer Relationship Management) systems

The Team

The Impact Team Assistant will work directly with the Senior Director of Impact, as well as providing support across the Impact Team, which is 5 core members of staff in total and external associates. The Impact Team Assistant will also need to connect into and work alongside the Development, Operations and Marketing and Communications teams within Big Change as the work requires.

  • Events (internal and external, online and in-person) – venue booking, catering, guest lists, invitations, RSVPs, all aspects of event set up and support, including travel planning and booking (UK and international), ordering of printed and other merchandise
  • Meetings (internal and external, online and in-person) – scheduling, room booking, agenda setting, note taking, action tracking
  • Data and knowledge management – improving and supporting document organisation, supporting effective use of and updating CRM system, simple website updates and e-newsletter distribution
  • Planning and project management – capturing and sharing key activities and milestones in line with team and wider organisational plans, tracking and monitoring plans as well as external contracts and funding agreements
  • Research – ad hoc desktop research tasks relevant to the teams’ needs
  • Materials – creation of Powerpoint presentations, formatting and clear presentation of other documents, e.g. reports
  • Other duties as may be reasonably allocated from time to time

Knowledge, Skills, Experience and Core Competencies

Essential

  • 2-3 years relevant experience, ideally in an admin support or similar role
  • Proficient in Microsoft Office, Google Suite, Dropbox, with the ability to learn new software packages as required

Desirable
